below outlines your onboarding process and all the relevant steps.

When you accept our offer of employment, please confirm your proposed start date with your Medical Workforce contact (this will usually be the person who was present at your interview).

Your Medical HR contact will send you a conditional offer letter from the TRAC Recruitment site. Please read thoroughly as this will provide you with details of your appointment, necessary documents to complete and next steps.

We will also need to discuss your starting salary, and if you have been working outside of Wales, you may need to apply for incremental credit due to the different pay arrangements across the UK/ have previous service confirmed via an IAT, which will be run by the payroll department when you commence in post. If you are working in Wales you can email a copy of your most recent payslip to your Medical Workforce contact.

STAGE 2
Documentation

ESTIMATED TIME:
5-7 working days

At this stage, we will need to go through all the relevant documentation before you start your new role. You can find all the documents here, which will include:

  • DBS check: there will be a link for you to complete within the offer letter sent to you via TRAC.
  • Occupational Health Questionnaire: there will be a link for you to complete within the offer letter sent to you via TRAC. Your face to face/ telephone consultation cannot be made with Occupational Health until this link has been completed and submitted.
  • ID check: book a face-to-face ID check with your Medical Workforce Contact via your TRAC account.
  • Before your ID check appointment, we encourage you to ensure that you have all the necessary documents ready. These include;
    • Passport and/or Birth certificate
    • Right to work share code, if applicable
    • Driving licence
    • 2 forms of proof of address such as a Bank Statement, Tenancy agreement, credit card statement or utility bill issued in the last three months or a mortgage statement/council tax issued in the last 12 months. Please note online versions of these are not accepted due to the required NHS standards.

If you have any trouble accessing these documents, please contact your Medical Workforce contact or login to your TRAC account for alternative documents that may be used.

STAGE 3
Processing checks

ESTIMATED TIME:
3-4 weeks

Following your ID check you will need to ensure that the following steps are completed:

  • Attend your Occupational Health appointment
  • Receipt of your DBS clearance
  • Receive confirmation from your Medical HR contact that all pre-employment checks are complete and you are ready to confirm your start date

The Rota coordinator/ service manage for the department you will be working in should have been in contact with you during this time. If you have not receive any communication from them, please get in touch with Medical Workforce contact and they can pass on the contact details of the rota coordinator/ service manager you need to speak to.

STAGE 4
First day

On your first day, it is imperative you have discussed where to report to with your Medical HR contact. If they have not already met with you, they will meet with you on your first day to give you your ID badge, show you around the hospital and introduce you to your Rota Coordinator/ Service manager. You will also be issued IT access on your first day.

Please do not report for duty until your Medical Workforce contact has confirmed your checks are in place and you have been cleared to start work.
